Sabbath Startup Checklist
Are there enough volunteers today?
- Audio – Most important and must be staffed
- Live Stream Operator – If there is no volunteer, use a minimal camera and slide switching strategy.
- Visuals Operation – If we are short on volunteers, the presenter remote could be used by one of the other volunteers to operate most slides.
Audio
- Sound from the main Sanctuary speakers?
- Sound in the Narthex/Mothers Room/Kitchen?
- Microphone check (use the “All On” cue on the mixer to test all mics)?
- Test audio levels for all videos used for the service?
- Is this a microphone battery change week?
- Check the Technology Volunteer Schedule
Visuals / Video
- Projector is operational?
- 8×8 Video switch is operating and set to Scene 1?
- Check that audio output is going to Speaker, not Internal Speakers.
- Test videos for playability and sound.
- Check the Arrangement of each song. Sometimes the sync does not set the correct arrangement.
Live Stream
- Broadcast has been created and is ready to start?
- Both OBS and StreamDeck software is running on the live stream host?
- All Webcams are operational?
Daily Communication & Follow-up
- Acknowledge receipt of emails, requests, submissions, etc., and respond as necessary.
- Use “Reply-all” to emails to keep everyone in the conversation up to date.
- Monitor the forms for incorrectly trapped spam.
- Acknowledge receipt of form submissions to the requester.
- If you have to release a submission incorrectly trapped in spam, you need to manually trigger the notifications.
- If you feel that the person that should respond to the request is not following up, check with them.
Website Maintenance
Weekly Bulletin post – Blog Post
- In the WordPress Admin console, go to Posts.
- Add a Post and name it with the same naming convention as past weeks.
- Add a “file” object to the page and browse to upload the bulletin PDF for the week.
- Set the Featured Image and search for the image called “Bulletin”.
- Check the “News” Category in the Page section on the right.
Weekly Bulletin post – Bulletin Web Page
- Edit the bulletin page, and replace the previous bulletin PDF with the new one in the File object.
Other Website Page Editing
- Periodic updates to ministry pages as needed.
- Monitoring Website Forms for valid submissions / spam.
Website Editing Training Outline
- Must have a website user/password created to edit.
- Site navigation when editing.
- Page editing and publishing.
- Page Objects.
- Posting a bulletin or other news on the Bulletin page and News Blog.
- Adding/changing/deleting calendar entries.
Bulletin Prep Assistance
- Help the Church Secretary with the document if things don’t line up, or other unusual items
- Sometimes the only way to get page overflow corrected is to remote into the office laptop. Accessing the document from your computer can give a false sense that everything fits because you are not set up with the same printer as at the church.
- You’ll know this is the case if It looks correct to you, but the Secretary says it is overflowing to a third page.
- Remote in using Chrome Remote Desktop and info the accounts spreadsheet.
- Create weekly folders in OneDrive Visuals Folder
- Save the bulletin PDF to the weekly folder in OneDrive
- When new budget numbers are received, update the graph in the bulletin (and visuals slide) that shows the YTD church budget need vs. received.
- When the sheet is changed, the graph in the bulletin will show an update symbol to click.

- Place a PDF copy of the bulletin in the weekly OneDrive folder.
Visuals / Website Updates
Update the Scripture Reading in the Announcement Slides
- Edit the announcement slide called “Bible Lesson for the Day” and update the scripture reading and text (NKJV)
Update the Church Calendar
- The master calendars for both the church and school are kept on Google Calendar.
- Add/Edit/Remove appointments there and they will be shown in the HTML embed view on the website.
Publish the Monthly Newsletter to the website
- When received from the editor via a forms submission
Load the speaker PowerPoint for the week onto the Podium PC
- When you receive the PowerPoint, place it in the OneDrive folder for that week.
- On Sabbath Morning, open it from the Podium PC and start the presentation to the first slide so it is ready for the speaker to use.
- If you see the podium PC sending a very dim “Connect” image to the projector, you need to reset the Wireless HDMI. The transmitter on the podium PC has
a button on top. Press and hold it until the three lights are blinking. Within about 1 minute, it should automatically connect to the receiver in the booth.
Preparation Method
- Prepare either using Google Remote Desktop or Syncing from a home computer
- Always edit the slide in the presentation with the last sync date/time after editing.
- Standard Weekly Preparation
Gathering songs from the Music Spreadsheet
- Songs should be coming in by the website form.
- Add them to the music spreadsheet.
- The Secretary will add song#’s and which verses will be sung into the bulletin document when received.
- When songs are inserted, if the lyrics look small, wrong font, etc, re-apply the appropriate theme for the slide(s).
Announcements
- Slides should be reorganized each week in relation to the Today/Monthly yellow slide separators and kept in an ascending date order.
- Slide Sources:
- Bulletin – Upcoming calendar table and all text announcement sections (local, school, conference).
- Announcement requests received.
Order of Service
- Always check the order of service in the bulletin for anything unusual for slides such as baptisms or other special items.
Miscellaneous Information
General Information
- Slides that are often used but not needed this week should be disabled (e.g. “Praise” slide after Prayer requests if there are no praises to report).
- TIP: When the last slide in a Presentation is deleted, It’s size becomes wrong. Resize the Presentation to the Projector (1280×1024) and add a slide back
using the a format from the Theme.
Tip for no-risk experimentation
- In ProPresenter, at the top left there is a “Library” section.
- Our production library is “HFSDA”
- You can create your own library, select it, and experiment with creating and deleting things with no risk.
If a performer gives you a Google Sheet or a PowerPoint with lyrics
- If the slides are prepared in Google Sheets, download the sheet to a PowerPoint file.
- Import the PowerPoint to ProPresenter as slide images.
- NOTE: Importing PowerPoint as images does not preserve animations of slide elements, but is the only viable method since importing as text and graphics has unreliable results.
- Drag and drop the images to the “Sermon Slides” folder in the ProPresenter Media Bin.
- Copy the slides from the imported presentation into the “_Main Service, Part B” presentation right after the slide that starts the soundtrack.
Offering or other Videos from the Conference
- Should be downloaded into the OneDrive visuals folder for the week from the link sent by the conference.
- When preparing for the week it is to be shown, import it to the ProPresenter Media Bin, then drag it into a presentation.
Audio and Live Stream Processing after the weekly Service
- Audio:
- Create weekly folder in pCloud audio recordings.
- Upload recording to pCloud at end of service.
- Live Stream:
- Apply a speaker photo if it was not done before the live stream startup.
- Add to any relevant playlist(s) (e.g. HFSDA Weekly Services, HAS Events, Special Event).
- Check for any potential copyright impact. This may not be available for a few days while YouTube analyzes the content.
- If a violation is found that makes the video unplayable, it will need to be edited and the segment(s) that caused the violation need to be silenced or
trimmed out. This can be done in YouTube Studio.
Zoom and Google Meet Administration
- Meetings other than the Sabbath Service generally administered by the Pastor.
- Non-routine configurations, meetings, or troubleshooting may require AV assistance.

- Sometimes videos need to be trimmed.
- The preparer needs to be proficient in a video editing tool of their choice. There is no “standard” tool.
- If you have MacOS or iOS, you can use iMovie or QuickTime.
